How can I submit Study Leave absence requests in Wave? 

The entire Study Leave workflow has been automated in Wave. It is crucial that Staff Members and Managers review this step-by-step user guide to familiarise themselves with the various steps involved for ensuring that the sequence is correctly maintained in the system flow. In the user guide, the relevant sections for Staff Members are A, D, F and H while for Managers the relevant section is B. Missing a particular step or breaking the sequence of steps will cause issues in the workflow and delay your Study Leave approval process. 

 

How can I ensure that my absence is booked in the Study Leave journey in Wave? 

Kindly follow the steps below to complete the workflow within Wave: 

  • Log-in to Wave. 
  • Go to Me > Journeys. 
  • Select the study leave journey (i.e. ‘IOM Absence Study Leave’). 
  • Expand the second task 'Book Study Leave absence' and click on the 'Go to Existing Absences' hyperlink. Review the details previously submitted by you and verify if any changes need to be made to your Study Leave request (e.g. dates or timings). If there is no change, toggle back to the Tasks page and click on ‘Done’. 
  • The next action will be taken by SDL in the Study Leave process. 

 

How can I edit a previously submitted Study Leave absence request in Wave? 

To edit existing absence requests, you may follow the steps below: 

  • Log-in to Wave
  • Go to Me > Time and Absences > Existing Absences. 
  • Look for the previously approved study leave absence and click on the pencil icon to edit it. 
  • Once you’re in the absence page, go to the ‘When’ section, then -  
  • click on the pencil icon to edit the exiting absence 
  • click on the button ‘+Add’ to add more study leave days 
  • Review the edited absence(s) and click on the Submit button when you’re done. 

Note: For adjustments made to a leave that is already approved, it will undergo another round of approval process. 

 

How can I delete a previously submitted Study Leave absence request in Wave? 

To delete an existing absence request, you may follow the steps below: 

  • Log-in to Wave
  • Go to Me > Time and Absences > Existing Absences. 
  • Look for the previously approved study leave absence and click on the pencil icon to edit it. 
  • Click on the ‘Delete’ button found at the upper right part of the screen. 
  • Note: For the deletion made to a leave that is already approved, it will undergo another round of approval process. 

 

How can I add attachments to my previously submitted Study Leave Request Form (Document Record) in Wave? 

  • Log-in to Wave
  • Go to Me > Quick Actions (in the left pane) > Document Records > search for “Study Leave”. Please note that you may need to uncheck some of the default filters when searching. 
  • Click on the eyeglass icon then click on “Edit” at the upper right corner of the screen.  
  • Add/edit attachments pertaining to your request under the "Attachments" section and click on "Save". 

 

How can I submit a Document Record for the Study Leave Completion Form within two months of my study leave? 

  • Log-in to Wave. 
  • Go to Me > Quick Actions (in the left pane) > Document Records. 
  • Click on the button ‘+ Add’. 
  • Select ‘Study Leave Certificate confirming the completion of the training’ from the dropdown.

  • Complete the form and upload the supporting documents. 
  • Review the form then click ‘Submit’.

I have submitted a study leave request in Wave, however, my manager is not reflecting correctly. How best to proceed?

If your reporting line needs to be corrected, we request you to please open a ticket in the GSS portal (https://gss.iom.int/support/tickets/new) and select “Wave” as the category. Reporting line has a wider impact than study leave, therefore, colleagues who are managing Core HR are best placed to help on this case.
