1. Why has SDL used the term Instructor instead of Trainer/Facilitator in Wave Learn?
This terminology comes from Oracle and SDL has maintained certain aspects to avoid extensive customisations. However, it simply refers to colleagues who serve as trainers or training focal points in IOM.
2. What does the Learning Specialist role entail?
This is the terminology used in Oracle to refer to the SDL system administrators for the Learning Management System (LMS).
3. If I am an IOM trainer/training focal point, will I automatically have the Instructor role in Wave Learn?
No, the Instructor role needs to be requested by sending an email to [email protected]. Names are being compiled in batches for role assignment.
4. How can participants receive certificates for face-to-face trainings that I am either delivering myself or for which I serve as training focal point?
Kindly visit this FAQ to register Instructor-Led Trainings (ILTs) in Wave Learn. For colleagues on contracts other than staff contracts, SDL will provide a template that can be used by trainers to issue completion certificates. Trainers are responsible for ensuring that the certificate template is used solely for this purpose, and they should maintain an internal record of issued certificates for future reference.
5. How should I submit face-to-face training registration information, including attendee lists, to SDL?
An updated form link, including participant registration template, will be made available on this page shortly. Please submit this form at least 2 weeks before the start date of your training.
6. At what stage of the workflow can instructors expect to perform activities independently in Wave Learn?
As demonstrated in the user training for Instructors, there are several key actions that need to be performed by SDL (Learning Specialist in Oracle's terminology) in the first instance. It is, therefore, extremely important to please contact SDL at least 2 weeks prior to your training session start date. Once SDL has set up your course in Wave Learn and mapped you as the primary instructor, you will be notified via email and may then proceed with managing different aspects pertaining to your course.
7. How much time do instructors have post-training to complete all formalities for their respective sessions?
Please try to finalise all pending actions within 2 weeks after the training conclusion.
8. As an instructor/trainer, can I generate completion certificates on behalf of training participants?
No, you will not be able to generate completion certificates from Wave Learn on behalf of training participants. However, if needed and if relevant, you may consider issuing paper certificates to participants as this is sometimes done for the end-of-training group photo.
9. As an instructor/trainer, how can I access reports for training sessions that were held prior to the launch of Wave in January 2025?
For access to training reports for staff members between 2017 and 2024, please submit a request to SDL with the training title, the specific dates and the training location via the HR Support Portal. We would require at least 5 working days to process requests for reports.
10. As an instructor/trainer, how can I access reports for my training registered in Wave Learn going forward?
Trainers can generate attendance/progress reports from Wave Learn only if they are mapped to the relevant training in the system (note that this mapping action needs to be performed by SDL). To get started, please send a request to SDL at [email protected] to gain access for managing specific self-paced courses or instructor-led training (ILT) sessions. In SDL's reply, you will also receive guidance on how to review training progress data.
11. How do I manage a training that has multiple instructors; can everyone get access to the respective ILT or self-paced trainings?
No, in this case, we will ask you to nominate a primary instructor - who should be a staff member - to ensure that only a single person has editing rights and access to training-related data in Wave Learn.
12. What is the main difference between Courses, Offerings and Activities?
Consider the course as the overall structure or shell of your learning programme. A course can have multiple offerings within it, e.g. to separate different language versions or to differentiate between learning formats (instructor-led/self-paced/blended). Each offering further has activities under it. These activities can be self-paced such as videos, reading materials/guides or E-Learning content, or can include a schedule of instructor-led sessions (face-to-face or virtual).
13. What should I do if the MS Teams link does not generate for a training?
After some time, please return to the course you have enrolled in, expand the offering and check if the "Download Invite" button has become active. If not, scroll down to see if the MS Teams link appears under the "Virtual Classroom" section. In this case, please create a calendar blocker for yourself and add the link.
Alternatively, go to the Wave Help Hub, select Training Schedule and search for the training session that you would like to attend. You should find the link to join the upcoming session, along with the training recording once the session has taken place.
14. I am trying to download the calendar invite for a virtual instructor-led training in Wave, but it does not appear in my Outlook calendar. What should I do?
If you encounter this problem, please access the iCalendar File in your downloads, right click on it and choose 'open with'. From the options that you see, please select to open with 'Outlook' and not Outlook (new). If this also does not work, please create a calendar blocker for yourself and add the link from the course in Wave (see previous question for additional guidance on the MS Teams link).
15. How would I know if the ’instructor role’ is activated in my Wave account?
If the ‘Learning’ tab is visible to you under 'My Client Groups' then that would mean you have the instructor role activated in Wave.
