This FAQ article is intended for training owners, training organizer and/or training facilitators who are organizing a learning event for IOM staff members. 

 

Simple Steps and Key Benefits of Recording ILT Events in Wave

 

1. What is the process for registering instructor-led training (ILT) events in Wave?

To register an ILT event in Wave, follow these simple steps:

  • Step 1: Submit Training Details (Action by training owner, training organizer, or trainer)
    Complete this online form available through the HR Support Portal ideally at least 14 working days before the training starts. This allows the SDL team to process your request efficiently.

  • Step 2: SDL Creates Learning Event (Action by SDL)
    After receiving your submission, the SDL team will create the learning event in Wave. The ILT event will then appear in the DHR Learning and Events calendar (Power BI) after the next scheduled refresh, making your training visible to all relevant staff.

  • Step 3: Register Participants (Action by training owner, training organizer, or trainer)
    If you have pre-selected participants, send their details (including IOM email addresses and/or PERNs) to SDL using this template, or attach the file to the online form. If not, you can choose to manage applications within Wave (on a first-come-serve basis) or through external forms (like MS Forms or Qualtrics with or without a selection process) and include the relevant application link in your submission.

  • Step 4: Mark Attendance (Action by training owner, training organizer, or trainer)
    During the training, track who attends and, after the event, confirm the final list of attendees (you may use this template). Submit the list to SDL, who will update the records in Wave.

2. How is attendance marked for ILT events?

Attendance is monitored during the training session. After the event concludes, the organizer submits the final list of participants who completed the training to SDL. SDL will then record their attendance in Wave, which enables participants to access the training evaluation form and their completion certificates.


Note: For selected participants who did not attend the ILT event, please indicate in the final list submitted to SDL whether they should be tagged as:

  • No Show – selected but did not attend the session
  • Withdrawn – selected but formally communicated their decision not to proceed with the training


3. What are the benefits of recording ILT events in Wave?

  • Visibility: The event is displayed in the DHR Learning and Events calendar, increasing awareness of your unit’s training initiatives.
  • Accurate Statistics: All registered events contribute to organizational training statistics, supporting data-driven decisions and reporting.
  • Learner Records: Participant training histories are updated in Wave, allowing staff to track their learning progress and achievements.
  • Access to Certificates & Feedback: Only those marked as having attended will be able to submit feedback and obtain their certificates within Wave.
  • Centralized Tracking: Recording in Wave ensures that all training data is maintained in a single, accessible system, reducing duplication and errors.
