This FAQ article is intended for  training owners, training organizer and/or training facilitators  who are organizing a learning event for IOM staff members. 



1. Prepare Your Training Details


Before submitting your request, download and complete the template that matches your ILT setup. These templates include all required fields for creating your training in Wave.


Choose the appropriate template:


  • One-Day ILT – For a single-session training conducted on one day
  • ILT with Multiple Parts – For trainings where the same group of participants attends multiple sessions (e.g., multi-day or modular training)
  • ILT with Multiple Offerings – For trainings delivered multiple times, where each session has different participants


Not sure which template to use? Choose Multiple Parts if the same group attends all sessions, or Multiple Offerings if participants differ per session.



2. Submit Your Request (Action by Training Owner/Organizer/Trainer)


Submit the completed template through this link: STEP 1: Register an instructor-led training (ILT) to Wave, 14 days before the training start date. This allows SDL to process your request efficiently.




3. Training is created in Wave (Action by SDL)


The SDL team will create your learning event in Wave based on the submitted details.


Once created, the event will appear in the DHR Learning Events Calendar / IOM Global Training Calendar.  This calendar in Power BI are updated daily. Training data is extracted from Wave Learn at 1:00 am Geneva time and reflects in the calendar every 3:00 am Geneva time.



4. Mark Attendance (Action by Training Owner/Organizer/Trainer + SDL)


Track attendance during the training. After the event, submit the final attendance list to SDL by filling out STEP 2: Submit the final attendance list for an instructor-led training (ILT).  


To ensure accurate recording of final attendance list in Wave, please download and use this List of Attendees Template. Please attach the file to the STEP 2 service request form in Excel format (.xlsx or .csv only)


IMPORTANT NOTES:

  • SDL will not be accepting raw reports from MS Teams or Zoom. Please use the provided template.
  • SDL will not be accepting messy, incomplete, and/or improperly formatted data.
  • SDL will assume that all names included in the submitted file are completed participants, and entries will be uploaded exactly as provided.


SDL will then update attendance records in Wave upon receiving the STEP 2 service request form.


This ensures participants can:


For participants who did not attend, indicate:

  • No Show – Selected but did not attend
  • Withdrawn – Selected but informed organizers they would not attend

  • Visibility: Your training appears in the DHR Learning and Events calendar
  • Accurate Reporting: Contributes to organizational learning statistics
  • Learner Records: Updates participants’ training history
  • Certificates & Feedback: Enables access upon attendance confirmation
  • Centralized Tracking: Keeps all training data in one system


📋 Can I still register past trainings/sessions in Wave?



Only instructor-led trainings/sessions conducted from January 2026 onwards can be registered in Wave. 

For sessions conducted in previous years, training organizers should contact SDL by raising a support ticket via the HR Support Portal to confirm whether registration is still possible.
